Update on COVID-19 Preparedness at the AAAAI Annual Meeting


The 2020 American Academy of Allergy, Asthma & Immunology (AAAAI) Annual Meeting will take place as planned March 13-16 in Philadelphia, Pennsylvania, and the AAAAI is taking necessary precautions to ensure the health and safety of attendees in light of concerns about the coronavirus disease 2019 (COVID-19). We are continuously monitoring the situation, however we are offering full refunds for anyone who wishes to cancel. If you wish to cancel your Annual Meeting registration, please email annualmeeting@aaaai.org. To cancel your hotel reservation, you must contact the hotel directly at least 72 hours prior to check-in in order to avoid fees.

AAAAI leadership is aware that COVID-19 has been heavily covered in the news and thus many attendees may be concerned about the status of the meeting. We want to share that registration is consistent with previous years, with more than 5,000 delegates currently registered to attend. As the situation with COVID-19 continues to evolve, AAAAI leadership has been meeting on a daily basis to discuss what developments have occurred and ensure we have the ability to respond in a way that is best for our attendees. While we informed you last week of our efforts to prepare, we wanted to provide an update with some additional information.

How AAAAI Is Preparing
We are following all guidance and recommended safety measures issued by the World Health Organization (WHO), Centers for Disease Control and Prevention (CDC), the Pennsylvania Department of Health, and local health organizations, and working closely with the Pennsylvania Convention Center, Philadelphia Convention and Visitors Bureau, and area hotels to coordinate appropriate safety procedures. In addition, AAAAI is taking the following specific actions to prepare:
AAAAI Annual Meeting
•    Posting increased disease-prevention signage throughout the Pennsylvania Convention Center.
•    Designating the 2020 Annual Meeting a “no handshake” meeting.
•    Actively encouraging attendees to take common-sense precautions and follow CDC guidelines to prevent the spread of illness.
•    Working with the Pennsylvania Convention Center, Philadelphia Convention and Visitors Bureau, and area hotels to coordinate CDC recommendations and protocols for heightened cleanliness at event facilities, including increasing the number of hand sanitizing stations and cleaning public restrooms multiple times an hour. High touch surfaces such as entrance/exit door handles and plates, rest room doors and counters, elevator button panels, escalator handrails, lobby desks, and corridor furniture will have increased cleaning.
•    Ensuring that medical care is readily available to address immediate healthcare concerns.
•    Holding a special COVID-19 session on Saturday, March 14 from 7:00 to 8:00 am in the Pennsylvania Convention Center, 400 Level, Terrace Ballroom IV, and launching a new AAAAI podcast episode on the topic.

How Philadelphia Is Preparing
We have been in contact with Philadelphia officials and they have measures in place to assure the safety and health of travelers to the state. We also wanted to share these pertinent links:

If You Wish to Cancel Your Registration and Hotel Reservation
We are offering full refunds for anyone who wishes to cancel. If you wish to cancel your Annual Meeting registration, please email annualmeeting@aaaai.org. To cancel your hotel reservation, you must contact the hotel directly at least 72 hours prior to check-in in order to avoid fees.

How We Will Update You
We will keep you informed of any important developments up to and during the Annual Meeting via AAAAI emails, the Annual Meeting website, and our Annual Meeting app, which offers the ability to quickly send you push notifications.   

The AAAAI is taking COVID-19 very seriously and is fully engaged and prepared to host a successful Annual Meeting in Philadelphia. The city of Philadelphia and the Pennsylvania Convention Center hosts successful conventions and other large-scale events daily and are maintaining cleanliness and safety standards throughout public spaces, hotels, and meeting facilities.

We encourage attendees to monitor the CDC website for additional information and follow the WHO's Travel Advice as they consider their travel arrangements to the AAAAI Annual Meeting, as well as its recommendations for protecting themselves from an infection. In addition, we are closely monitoring all travel alerts issued by the U.S. Department of Homeland Security. If you are experiencing flu-like symptoms, please reconsider your trip.
