Commercial Support Opportunities
Commercial Support of Meeting Services
All Annual Meeting services will be conducted in accordance with the Commercial Support Guidelines of this prospectus.
Overview of Meeting Services
In addition to educational sessions, there are a number of popular meeting services which are available for commercial support at the AAAAI Annual Meeting. These activities are primarily services provided to delegates to assist in their overall participation and enjoyment of the meeting. Some popular examples include registration bags, shuttle service and handouts on CD-ROM.Right of First Refusal
When accepting commercial support of Annual Meeting services, the AAAAI adheres to a right of first refusal process for organizations that have supported particular services the previous year. This means that the previous year’s industry partner is given the option of confirming support of the same service at next year’s meeting before offering support of that service to other organizations.Shortly after one Annual Meeting ends, the AAAAI begins the process of confirming commercial support for the next year’s meeting. Because some services cannot happen without support, it is necessary to confirm commercial support of as many as possible by the earliest possible date in order to stay ahead of planning schedules and timetables. Therefore, industry partners from the 2006 Annual Meeting have until July 31, 2006, to confirm their interest in supporting the same services for the 2007 Annual Meeting.
Overview of Commercial Support Confirmation Process
After the AAAAI has confirmed commercial support of meeting services through the right of first refusal process described above, there will remain a list of services which are still available for support. In order to fairly and efficiently deal with multiple requests from industry partners, the AAAAI will abide by the following process and procedures in confirming support of these services.
All information regarding sponsorship of meeting services will be embargoed until September 1, 2006. Those services not impacted by the right of first refusal policy and those not confirmed through this process, will be listed on the Annual Meeting Web site, www.annualmeeting.aaaai.org, beginning September 18, 2006.
The listing of available services will be updated every other Monday beginning September 11, 2006. Newly created services will be added and services with confirmed support will be removed.
Inquiries from potential industry partners will be handled strictly on a first-come, first-served basis.
Once an industry partner makes a verbal commitment to support a particular service, an official AAAAI Letter of Agreement will be sent to the industry partner representative for their signature. The industry partner has two weeks to sign and return the Letter of Agreement which will constitute a legal and binding commitment to support that service. During those two weeks, that service will remain unavailable to other potential industry partners. At the conclusion of the two weeks, that service will be made available to other potential industry partners if a signed Letter of Agreement has not been returned to the AAAAI.
There is no limit on how many services any one organization can support.
The AAAAI encourages industry partners to suggest ideas for additional meeting services and is open to developing new services that meet both the needs of Annual Meeting attendees and the industry partner.
