c/o CMR
33 New Montgomery St., Suite 1420
San Francisco, CA 94105Because of the popularity of certain Annual Meeting hotels,
delegates are encouraged to make their hotel reservations at the earliest possible date. Rooms will be reserved on a strict first-come, first-served basis. All delegate hotel reservations must be booked no later than February 16. After this date, the AAAAI cannot guarantee any delegate a room in one of the designated 2005 Annual Meeting hotels.Deposit
Each delegate hotel reservation must be guaranteed with a first night deposit by credit card (VISA, MasterCard, American Express) or check deposit in the amount of $250 per room or $500 per suite. Check deposits should be drawn on a U.S. bank and made payable to CMR.Confirmations
A confirmation of your hotel reservation will be sent to you by CMR within 48 hours of booking your hotel. Delegates will be able to choose the method in which they would like to receive their confirmation by indicating either fax or e-mail on the Delegate Hotel Reservation form. These confirmations will be issued by CMR and will contain a CMR confirmation number. This is the only confirmation number you will need. Your hotel will not issue a confirmation of your reservation.Changes/Cancellations
All changes or cancellations to existing delegate hotel reservations must be made no later than March 11, 2005. CMR must be notified of all changes or cancellations to your hotel reservation. Do not contact the AAAAI executive office. Deposits will only be refunded for cancellations made with CMR before March 11. After that date, no changes or cancellations will be accepted and no deposits will be refunded for any delegate reservations.Guaranteed Payment Policy
When the hotel reservation is made and confirmed through CMR, the 2005 Annual Meeting hotels may hold delegates individually responsible for all charges that accrue for the use or non-use of that reservation. For this reason, please be sure to have any necessary changes or cancellations to your reservation made by March 11. Delegates who fail to arrive on their scheduled arrival date, or depart before their scheduled departure date, may be charged for all nights of their confirmed reservation whether they actually utilized the hotel room or not. A change of policy by such major credit card companies as VISA and MasterCard will allow hotels to collect charges if they can demonstrate that you were made aware of the policy. In light of this change, please be sure your confirmed hotel reservation matches your itinerary.Special Accommodations
Should you require any special accommodations or services in your hotel room, please inform CMR to assure the proper arrangements can be made.Exhibitor Hotel Reservations
A portion of the hotel rooms has been reserved exclusively for exhibitor reservations. As a service to our delegates, once the exhibitor rooms have been booked at a certain hotel, no additional exhibitor reservations will be allowed, even if there is availability within the block reserved for delegates. In order to secure rooms in this block, exhibitors must follow the instructions and complete the housing forms included in the Exhibitor Service Manual.Group Hotel Reservations
For more information on group hotel reservations, please contact Michelle Reed at the AAAAI executive office by phone: (414) 272-6071 or e-mail: mreed@aaaai.org.
What happens if I am put on a hotel room waiting list?
Your name is placed on a waiting list when AAAAI Housing is unable to process your hotel request due to a temporary situation when all 2005 Annual Meeting hotels are booked. While on the waiting list, AAAAI Housing will continue to work to secure accommodations on your behalf up until your arrival date. When accommodations become available, AAAAI Housing will automatically book your hotel room and inform you via fax or e-mail of your reservation.1. San Antonio Marriott Rivercenter
