Exhibit Space
One of the most popular methods of participation for organizations at the AAAAI Annual Meeting is through the acquisition of exhibit space. The exhibits are a major component of each Annual Meeting, representing a substantial source of income for the AAAAI and one of the best environments for our industry and association partners to interact with our members and delegates.
Each year the AAAAI publishes an Exhibitor Prospectus, which includes detailed information about how to obtain exhibit space at the upcoming convention. This year’s prospectus is targeted to mail on July 1, 2004. In order to ensure your organization receives one, be sure to contact the AAAAI office with the appropriate contact information.
For-profit organizations are required to purchase exhibit space at the rates specified in the Exhibitor Prospectus. Non-profit organizations may apply for complimentary space, however, the amount of complimentary space is limited, and not all requests can be accepted. Applications for both paid and complimentary exhibit space can be found in the Exhibitor Prospectus, and must be returned by October 15, 2004 in order to be considered for priority assignment in the Annual Meeting exhibit hall.
The AAAAI has a well-established system to assist with the assignment of individual exhibit spaces in the exhibit hall. The system is designed to give preference to organizations renting large exhibit spaces, and those with a long history of exhibiting with the AAAAI. This system also gives preference to those organizations making educational grants to the AAAAI and donations to the AAAAI’s Educational Research Trust (ERT) Fund. Full details about the priority point system will be listed in the exhibitor prospectus.
The system is used to assign space to all accepted exhibit applications received before October 15, 2004. Those received and accepted after that date are assigned space on a strictly first-come, first-served basis, and only as long as space remains available. It is not unusual for the demand for exhibit space to surpass the supply.
All exhibit applications must be reviewed and accepted before a space assignment can be made. All exhibitors must market a product, provide a service or otherwise be of interest to physicians, researchers or allied health professionals in allergy and immunology. The AAAAI reserves the right to accept or reject any exhibit application for any reason it deems necessary to preserve the professional atmosphere or overall integrity of the conference.
