Affiliated Functions
From time to time, an industry or organization partner of the AAAAI will want to plan a function to take place in conjunction with the AAAAI Annual Meeting. The AAAAI defines these functions as any event not planned or organized by the AAAAI for which Annual Meeting attendees are invited or expected to attend.
Industry and organization partners must inform the AAAAI of any such affiliated function they plan to organize through use of the Affiliated Function Application Form in this guidebook. The deadline for submission of this form is January 31, 2005.
The AAAAI controls the allocation of all function space at the Annual Meeting convention properties. A great deal of this space will be used for official Annual Meeting sessions and activities. However, a portion of this space has been reserved for the affiliated functions of our industry and organization partners. Available space is limited and will be assigned on a strictly first-come, first-served basis. To apply for this space, check the appropriate box on the Affiliated Function Application Form.
Because of the extensive schedule of official Annual Meeting sessions and activities, there are times during the conference schedule when no additional space is available for affiliated functions. An Affiliated Function Application Form must be completed for every function planned by an industry partner, whether or not the function space is sought at an Annual Meeting property.
Even in instances where the AAAAI releases space for an affiliated function, the affiliated function(s) will not be endorsed or sanctioned by the AAAAI. In addition, use of the AAAAI or Annual Meeting names or logos in conjunction with these events is strictly prohibited.
The AAAAI groups affiliated functions into three general categories: (1) Social Events; (2) Educational Sessions; and (3) Other.
Social Events
A social event is an affiliated function whose primary purpose is to entertain its participants. Some popular examples include receptions, tours and excursions. As a general rule, no social event proposed in conflict with an official Annual Meeting session or activity will be allowed.Educational Sessions
An educational session is an affiliated function whose primary purpose is to educate its participants. Some popular examples include symposia, workshops and seminars. Industry and organization partners who are interested in organizing educational sessions in conjunction with the Annual Meeting should follow the guidelines described in the AAAAI Dinner Symposia and Commercial Support of Educational Sessions sections of this guidebook. These guidelines represent acceptable pathways for industry and outside organizations to follow in support of educational sessions at the Annual Meeting. Satellite sessions, or those planned without the input or invitation of the AAAAI, are not permitted at the Annual Meeting.Other
Affiliated functions of other types are sometimes difficult to classify and will be evaluated on a case-by-case basis. As a general rule, functions organized for promotional or market research purposes are prohibited at the Annual Meeting. The only appropriate venue for these activities is inside the Annual Meeting Exhibit Hall. Also, industry consultant meetings and other forums for “thought leaders” will generally not be allowed.
Functions that typically are allowed include industry or organization Board or committee meetings, internal sales meetings and private religious ceremonies.For more information on affiliated functions contact:
